FA(3) XML for KSeF
KSeF in a nutshell
KSeF (Krajowy System e-Faktur) is the Polish Ministry of Finance's system for structured e-invoices. An invoice is an XML file in the FA(3) format; KSeF gives it a number and the buyer receives it there.
- Since 1 February 2026 large companies (sales above 200 million zł in 2024) issue their invoices in KSeF; since 1 April 2026 all other businesses do, including sole traders and VAT-exempt sellers.
- Receiving invoices through KSeF has been mandatory for businesses since 1 February 2026.
- Until 31 December 2026 a seller may still issue invoices outside KSeF in a month in which the gross value of its invoices is at most 10,000 zł. From 1 January 2027 KSeF applies to everyone, and penalties apply from that date.
- Invoices for consumers (B2C) may be sent to KSeF but do not have to be.
- An invoice handed to the buyer outside KSeF (printed or as a PDF) must carry the verification QR code.
Status in October 2026, according to the Ministry of Finance (ksef.podatki.gov.pl). Rules can change — check the current ones and talk to your accountant.
What the free plugin does
“I need an invoice” at checkout
A tick box, the NIP checked with the official checksum and the company name. Classic checkout and the checkout block (WooCommerce 8.9+). EU customers can enter their VAT number.
Invoice numbers
Your own pattern such as FV/{year}/{month}/{n}; numbering every month, every year or continuous. Never the same number twice.
FA(3) XML for KSeF
Products, shipping and fees as lines, discounts in the prices, VAT 23, 8, 5, 0%, zw and np from your WooCommerce tax rates, totals per rate, payment. Checked against the official FA(3) schema.
VAT-exempt sellers
Every line “zw” with the legal basis, e.g. art. 113 ust. 1 ustawy o VAT.
Printable invoice
A clear invoice in Polish, as the law requires — print it or save it as PDF from the browser.
One by one, in bulk or automatically
Create invoices from the order, from the orders list, or automatically on Processing or Completed. Invoice column, number in the order e-mails, invoice in My account.
How it works
1. Set up
Install and activate; in WooCommerce → KSeF invoices enter the seller NIP, name, address, number pattern and VAT settings.
2. Create invoices
“Create invoice” in the order, the bulk action in the orders list, or automatically on an order status.
3. Send to KSeF
Free: download the XML and send it in the Ministry's free Aplikacja Podatnika KSeF, then paste the KSeF number. Pro: one button, bulk or automatic.

Good to know
- Orders in PLN with Polish VAT rates only (23, 8, 5, 0%, zw, np). Other currencies and foreign OSS rates are not supported in this version.
- No correction invoices (KOR) and no refunds yet.
- No intra-EU supplies (WDT), exports or reverse-charge codes yet.
- KSeF tokens: the regulation says they work until 31 December 2026. The Ministry has announced that it will keep them, but the regulation has not been changed yet; if tokens end, the plugin will need an update for certificate login.
- The free version makes the XML; you upload it yourself in the Aplikacja Podatnika KSeF and paste the KSeF number into the order.
- You, the seller, are responsible for the content of each invoice and its tax treatment. This is not tax advice — check your VAT setup with your accountant.
- Invoices are stored only in your WordPress database. The free plugin sends nothing anywhere; Pro talks only to the official KSeF API.

Questions
Which orders can be invoiced?
Orders in PLN with Polish VAT rates (23, 8, 5, 0%, zw, np). Other currencies and foreign OSS rates are not supported in this version.
Can I change an invoice?
No. An invoice does not change after it is created, like on paper. If it was not sent to KSeF yet, you can delete it (its number is not used again) and create a new one. Corrections are not part of this version.
Is a consumer (B2C) invoice possible?
Yes. Without a NIP the buyer is written as a consumer (BrakID). Sending B2C invoices to KSeF is optional.
Does it work with the checkout block?
Yes, with WooCommerce 8.9 or newer. With WooCommerce 9.9 or newer the NIP and company fields appear only when the box is ticked.
What does Pro need to send to KSeF?
Your own KSeF token, generated in the Aplikacja Podatnika KSeF, and the seller NIP. Pro talks directly to the official KSeF API 2.0 — nothing goes through UZYTAK.
How do I pay for Pro?
