Ad-free document scanner: how to hand your receipts to your accountant in 5 minutes

End of the month, twenty faded receipts in the car's glovebox, a fuel invoice in your wallet, three PDFs in your email. Your accountant wants "everything by Friday". Sound familiar? Your phone can sort it out in a few minutes, as long as the scans are legible, well named and reach your accountant in one pack.

Below: how to scan with your phone so nothing comes back for correction, how to organise the month, and how long to keep documents.

Why it pays to scan straight away

  • Thermal receipts fade: after a few months they can be illegible. A scan made the same day lasts.
  • Nothing gets lost in the car or a jacket pocket.
  • Your accountant gets everything in one place, not in dribs and drabs.
  • You know how much you've spent: monthly totals without retyping.

How to make a good scan with your phone: 7 rules

  1. A dark, smooth background under a light-coloured receipt: the app finds the edges more easily.
  2. Light from the side, not from above: no shadow of the phone and no glare.
  3. The whole document in the frame, with a margin. Missing the bottom of the receipt = missing the total and tax number.
  4. Long receipt? Scan it in parts as consecutive pages of one document.
  5. Straighten the perspective: good apps do this automatically.
  6. "Document" / black-and-white filter for text; colour if a stamp or signature matters.
  7. PDF for your accountant, JPG for a quick look. Accountants usually prefer PDF.

How to name files so your accountant doesn't ring you

A simple scheme: YYYY-MM-DD_type_vendor_amount.pdf

Example: 2026-10-03_receipt_Orlen_245.80.pdf, 2026-10-07_invoice_Castorama_1210.00.pdf

Plus one folder per month. If the app recognises the type, vendor, date and amount by itself, even better.

The monthly pack for your accountant

At the end of the month, send one pack:

  • each document as a separate PDF,
  • optionally one combined PDF for the whole month,
  • a table (CSV/Excel): date, type, vendor, amount, currency,
  • totals in each currency (fuel paid in euros on a trip to Germany kept separate).

Agree the format with your accountant once; after that you just repeat it.

How long to keep documents, and can you throw away the paper?

Poland: accounting books and records are kept until the tax liability becomes time-barred (art. 86 § 1 of the Polish Tax Ordinance, Ordynacja podatkowa): as a rule, 5 years from the end of the year in which the tax payment deadline passed (art. 70 § 1). Invoices received via KSeF are stored in the system. Whether you may destroy the paper originals after scanning depends on the type of document and how it is stored: agree this with your accountant before you throw away the first receipt.

Germany: since 2025, the retention period for accounting vouchers (Buchungsbelege) is 8 years, and for books and balance sheets 10 years (§ 147 AO). Replacement scanning (ersetzendes Scannen) is possible but requires a documented procedure.

Other countries: periods and rules differ; ask your accountant or tax office.

The scanner in Google Drive or Apple Notes is free and good: with a few documents a month, it's enough. Be careful with free scanners full of ads: a watermark on the PDF, pushy ads and subscriptions "after a 3-day trial" are a common model.

To be honest: text recognition reads languages written in the Latin alphabet (Polish, English, German…); it requires Android 8+ with Google Play services. Whether you can throw away the originals is decided by the law and your accountant, not by the app.

A 5-minute monthly routine

  1. Receipt in hand: scan it straight away at the till or in the car.
  2. Once a week: look through the library, correct the type and amount if needed.
  3. Last day of the month: choose the month, create the pack, send it to your accountant.
  4. Paper goes into one envelope with the month written on it (until your accountant says otherwise).

Questions and answers

Is a photo of a receipt enough instead of a scan? Often yes, if it's sharp and the whole document is visible. A scanner, though, gives you a straightened, cropped PDF that your accountant can read and archive more easily.

Does the app send my documents to a server? That depends on the app: check the privacy policy. In UZYTAK Scan, documents stay on your phone and leave it only when you share them yourself.

Which format does my accountant prefer, PDF or JPG? Usually PDF: one file per document, multi-page, easy to print. Ask once and stick to what you agree.
